Every ImmiPractice lead has one of seven statuses: New, Contacted, Follow-up, Qualified, Enrolled, Not Interested or Junk. You can change the status inline from the lead list or on the lead page, and every change is recorded on the activity timeline. Setting a lead to Enrolled converts it into a numbered case. Leads also carry a priority, an owner and a source.
- Seven statuses: New, Contacted, Follow-up, Qualified, Enrolled, Not Interested, Junk.
- Change status inline from the list; every change lands on the activity timeline.
- Enrolled converts the lead into a numbered case.
- Deactivate instead of deleting so history and source counts are kept.
What does each status mean?
| Status | Use it when |
|---|---|
| New | The enquiry has arrived and nobody has spoken to the person yet |
| Contacted | You have reached them at least once |
| Follow-up | A next conversation is due — a callback, a missing detail, a decision |
| Qualified | They are eligible and genuinely interested; usually ready for a consultation or retainer |
| Enrolled | They signed on — the lead becomes a case and leaves All Leads |
| Not Interested | They decided not to go ahead |
| Junk | Spam, wrong number or a test |
The meanings above are a suggested convention. Agree them as a team so reports mean the same thing to everyone.
How do I update a status?
- Open All Leads. Filter by status, source, service, branch or owner to find your working list.
- Change the status inline from the list, or open the lead and change it there.
- Add a note explaining the change — for example “Called, wants to apply after IELTS results”.
- Adjust priority or owner if needed.
Who can do it: anyone who can see the lead — Business Admin, Branch Manager, Manager and Receptionist in their branch, plus assigned Calling Team members and additional team members.
How does the Calling queue fit in?
Send a lead to the Calling queue when a caller should work it. Callers claim a lead, log the outcome and schedule a callback; scheduled calls rise to the top of their list. Calling Team members see only what is assigned to them.
What about leads that go nowhere?
Use Not Interested or Junk rather than deleting. To hide a lead entirely, deactivate it — its history is kept and you can reactivate it later. That way your source reports still count the enquiry.
How do statuses feed reporting?
Office Analytics compares leads with enrollments over 12 months, by branch and by source, and shows each team member’s performance. Clean statuses make those numbers useful. Each additional team member on a lead gets full credit in their assigned-leads count.
What happens next?
When a lead is ready to sign, convert it to a client. To keep follow-ups from slipping, see automatic follow-ups and the follow-up automation guide.
