Convert a lead to a client (enrollment)

The short answer

To convert a lead into a client in ImmiPractice, set its status to Enrolled — inline on the lead list or on the lead page. The lead leaves All Leads and appears in Enrollment as a case with its own number, such as ENR-2026-00001, keeping all earlier notes. From the case you set fees, record payments, send the retainer agreement and hand off to the Filing team.

Key takeaways
  • Set status to Enrolled to turn a lead into a numbered case.
  • The case keeps all earlier notes and appears in Enrollment.
  • Receptionists cannot see enrolled cases.
  • Next steps: fee, agreement, first payment and Filing handoff.

Who can enroll a lead?

Anyone who can update the lead’s status — typically the Business Admin, Branch Managers and Managers, and the counsellor or caller assigned to the lead. After enrollment, the case is opened from Enrollment by the Business Admin, Branch Manager, Manager and Accounts Team.

How do I convert a lead?

  1. Confirm the client is ready. Many firms enroll once the retainer is agreed; agree an internal rule so everyone enrolls at the same point.
  2. Set the status to Enrolled. Do it inline from All Leads or on the lead’s page.
  3. Open the new case from Enrollment. It has its own case number and the lead’s full history.
  4. Set the fee. Enter Total Payment and, if you charge it, Tax %. Add Payment Terms (printed on every invoice) and Case Remarks.
  5. Send the retainer agreement. See create a retainer agreement.
  6. Record the first payment with + Add Payment when it arrives, and generate the invoice.
  7. Hand off to Filing. Assign a Filing team member and add a memo with what matters.

Check first: Enrollment moves the record out of All Leads and out of reception’s view. Make sure you are enrolling the right lead — especially when one person has separate leads for different services.

One person, several services

A client pursuing two services has two leads, and each one is enrolled separately into its own case. For example, Maya might enroll for a visitor visa this spring while her study-permit enquiry stays a lead until she decides.

What happens next?

The Filing team works the case from memos, questionnaires and document checklists, updates the filing status, marks daily checks and records the visa outcome. Learn more in the client profile, document checklists and invoices and payments.

Tip: Enroll and send the agreement in the same sitting while the client is still engaged. Automatic reminders will chase the signature if they don’t sign straight away.
