Add a lead

The short answer

To add a lead in ImmiPractice, open the New Lead form, enter the person’s details, choose the service and the source (such as reception or referral), set a status and priority, assign an owner and optionally additional team members, then save. Leads from your Form Menu, Meta Lead Ads and WhatsApp arrive automatically, so manual entry is mainly for walk-ins, calls and referrals.

Key takeaways
  • Use the New Lead form for walk-ins, calls and referrals; other sources arrive automatically.
  • Always set the service and source so reports stay accurate.
  • The lead’s branch follows its primary owner.
  • Search before adding manually to avoid duplicates.

Who can add a lead?

Roles that work in All Leads: Business Admin (any branch), Branch Manager and Manager (their branch) and Receptionist (their branch). Calling Team members work the leads assigned to them. Your Business Admin can adjust these rights in Roles & Permissions.

How do I add a lead manually?

  1. Open the New Lead form from the leads area.
  2. Enter the person’s details. Name, mobile and email are the essentials. Type the email carefully — ImmiPractice matches clients by email.
  3. Choose the service they are asking about, for example “Study Permit”.
  4. Choose the source. Use “Reception” for walk-ins, “Referral” for introductions, and so on. Accurate sources make your analytics trustworthy.
  5. Set status and priority. New leads usually start as New.
  6. Assign it. Pick the primary owner in Assigned To. The lead’s branch follows its owner. Add Additional Team Members if colleagues should also work it.
  7. Save. The lead appears in All Leads, the assignees are notified, and its activity timeline begins.
Tip: Add a short note straight away — what the person asked, when they want to travel or apply, and what you promised. The next person to call them will thank you.

Which leads arrive automatically?

SourceHow it arrives
Form MenuClient verifies their email and submits a service form
Meta AdsFacebook and Instagram Lead Ads, in real time once your Page is connected
WhatsAppMessages to your connected WhatsApp Business number
Website formOlder direct form links now redirect into the verified Form Menu flow
Reception, manual entry, referral, otherEntered by staff with the New Lead form

Every new lead triggers a bell notification for the people who should know: the Business Admin, branch colleagues with lead access, and the assignee.

What about duplicates?

When a client resubmits the Form Menu for the same service, ImmiPractice updates the existing lead and logs the change rather than creating a duplicate. Meta leads are imported once only. For manual entry, search first with global search before adding someone who may already be on file.

What happens next?

  1. Work the lead through its statuses — see lead pipeline and statuses.
  2. Send it to the Calling queue if a caller should follow up.
  3. When the person signs on, convert the lead to a client.

Frequently asked questions

Can a receptionist assign a lead to another branch?

No. Reassignments are limited to people in the same branch. Only the Business Admin can move a lead to another branch, by assigning it to someone there.

Can I add a lead without an email address?

Clients are matched by email, so record one whenever possible. Form Menu submissions always require name, mobile and email.

How do I remove a junk lead?

Set its status to Junk, or deactivate it. Deactivated leads keep their history and can be reactivated.
