Automatic follow-ups and reminders

The short answer

ImmiPractice follows up automatically in five places: unsigned retainer agreements (reminders at the interval you choose, up to a maximum, then expiry), client appointment reminders, task reminders at an exact time plus a daily due-soon email, scheduled callbacks in the Calling queue, and birthday and visa-expiry emails. Each is configured once and then runs without staff having to remember.

Key takeaways
  • Agreement reminders have three settings: interval, maximum reminders and link validity.
  • Expired signing links appear on the Agreements dashboard and can be resent or superseded.
  • Tasks marked as reminders alert by email and in-app popup at the exact time.
  • Appointment reminder timing is set once in Calendar → Settings.

Remind clients to sign their agreement

  1. Open Agreement Automation in the sidebar.
  2. Turn reminders on.
  3. Set the interval — how many days between reminders.
  4. Set the maximum number of reminders per agreement.
  5. Set link validity — how many days a signing link stays valid.
  6. Save. Clients who have not signed receive a follow-up email with a fresh link, spaced by your interval, until they sign or the maximum is reached.

Links that pass their deadline are marked Expired on the Agreements dashboard, where you can resend or supersede them. Every reminder and every expiry is written to the agreement’s audit trail.

Remind clients about appointments

  1. Open Calendar → Settings (Business Admin).
  2. Set the reminder lead time — how many hours before the appointment the client is reminded.
  3. Save. Clients with a confirmed appointment receive an email reminder ahead of time.

Remind your team about tasks

  1. Create or assign a task with a due date.
  2. Mark it as a reminder if it must happen at a specific time.
  3. Choose “remind me before” if you want an advance alert as well.

A task marked as a reminder triggers an email and an in-app popup at its exact time and again at the advance you chose. Ordinary tasks are included in a daily “due soon” email instead.

Callbacks and long-term follow-ups

  • Calling queue. When a caller schedules a callback, that lead rises to the top of the queue when it is due.
  • Visa expiry and birthdays. Former clients receive reminders at the intervals you set. See email automations and campaigns.
Tip: Keep the reminder interval reasonable — for example every 2–3 days with a maximum of 3 — so clients are nudged, not pestered. Adjust to what your clients respond to.
Note: Agreement and marketing emails depend on email delivery. If clients say they never received anything, see emails going to spam.

Frequently asked questions

Are agreement reminders recorded anywhere?

Yes. Every reminder and every automatic expiry is recorded on the agreement’s audit trail.

What happens when a signing link expires?

It is marked Expired on the Agreements dashboard. From there you can resend it or supersede it with a new version.

Do reminders need anyone to press a button?

No. Once configured, agreement, appointment, task and marketing reminders run on their own.
