The bell in ImmiPractice’s top bar alerts you when a WhatsApp message arrives, a new lead comes in, a client signs an agreement, a client uploads a document, or an appointment is booked or rescheduled. Notifications go to the Business Admin, to people in the branch whose role covers that work, and to the assigned team members. Nothing needs to be switched on.
- Five events trigger the bell: WhatsApp message, new lead, agreement signed, document uploaded, appointment booked or rescheduled.
- Recipients: Business Admin, branch staff whose role covers the work, and assigned team members.
- You are never notified about your own actions.
- No setup is needed; the bell works for every user.
Which events create a notification?
The bell sits next to the search icon in the top bar on every page and every screen size, including phones. It covers these events, each sent the moment it happens:
- A new WhatsApp message arrives.
- A new lead comes in — by manual entry, the Form Menu or Meta Lead Ads.
- A client signs an agreement.
- A client uploads or shares a document.
- An appointment is booked or rescheduled.
You also get a bell notification when someone adds you as an additional team member on a lead, case, task or appointment.
Who receives a notification?
- The Business Admin always.
- People in the relevant branch whose role covers that work — for example, people who can view the branch’s leads for a new lead, or the filing team for a shared document.
- The person the record is assigned to, plus any additional team members.
Whoever performed the action is never notified about their own action.
How do I read and clear notifications?
- Watch the count. The unread count on the bell refreshes automatically about every 20 seconds while you are signed in — no page reload needed.
- Click the bell. The list opens with the latest events.
- Open an item. Each notification links to the lead, case, conversation or appointment.
- They are marked read. Everything shown when you open the bell is marked as read.
Live WhatsApp indicators
The WhatsApp conversation list refreshes itself about every 15 seconds, and an open chat checks for new messages every few seconds. New messages get a brief highlight so they are easy to spot.
Why didn’t I get a notification?
- You did it yourself. You are not notified about your own actions.
- It is outside your branch or role. Notifications follow branch access and role permissions. Ask your Business Admin to check your role in roles and permissions.
- You are not assigned. Ask to be added as an additional team member.
- You are not signed in. The bell updates while you have ImmiPractice open.
