Setting up your office in ImmiPractice takes four building blocks, done by the Business Admin: confirm the Business Profile, add any extra branches next to the Head Office, create the services you offer (such as Study Permit or Canada PR), and build at least one intake form per service so it appears on your Form Menu link and QR code. Then add your team.
- Every business starts with a Head Office; add more branches under Business Profile → Branches (Business Admin only).
- Branches keep leads, cases and team separate.
- A service appears on the Form Menu only when it is active and has at least one active form.
- Keep first-contact forms short; collect detail later with questionnaires and checklists.
Who can set up the office?
The Business Admin. Adding branches is limited to the Business Admin, and so is anything that changes how the whole business works. Branch Managers and Managers can manage their own branch’s team once it exists.
Set-up checklist
- Confirm your Business Profile. Check the business details and add your WhatsApp number — ImmiPractice uses it to generate “Click to WhatsApp” links. See manage your business profile.
- Add branches. Every business starts with a Head Office. If you have more locations, add them under Business Profile → Branches. Each branch’s leads, cases and team stay separate; only the Business Admin sees across branches.
- Create your services. In Services, add what you offer — for example “Study Permit”, “Visitor Visa”, “Spousal Sponsorship” or “Canada PR”. Services tag your leads and forms, so reports by service make sense later.
- Build an intake form for each service. In Lead-Capture Forms, create a form and link it to a service. The form builder offers single-line and paragraph text, email, phone, dropdown, radio, checkbox, date and file-upload fields. Name, mobile and email are always collected.
- Check your Form Menu. Open Form Menu to copy your link or QR code and choose a grid or list layout. A service only appears there once it is active and has at least one active form.
- Add your team. Invite colleagues with a role and branch — see add team members.
Example: a two-office practice
A consultancy with a head office and one satellite office adds a second branch, then creates three services: Study Permit, Visitor Visa and Canada PR. The study-permit form asks for intended program, school and a passport upload; the visitor-visa form asks for travel dates and purpose. Reception at each office gets the Receptionist role in its own branch, so each desk sees only its own enquiries.
How detailed should intake forms be?
Ask only what you need to qualify and contact the person at first touch. You can collect detailed information later through questionnaires and document checklists on the case. Shorter forms get more completed submissions, and returning clients see their previous answers pre-filled.
What happens next?
Once services and forms are live, share the Form Menu link on your website, email signature and ads — see Form Menu and QR code. Then configure your settings for calendar, agreements, email and WhatsApp. For a broader plan, read how to organize an immigration office.
