Add team members and assign roles

The short answer

To add a team member in ImmiPractice, open Team & Roles, add the person with their work email, choose one of the seven roles and their branch, and save. There is no password to set: they sign in with their email and a 6-digit code. The Business Admin can add anyone; Branch Managers and Managers can add and deactivate people in their own branch.

Key takeaways
  • Add people in Team & Roles with an email, a role and a branch — no passwords.
  • Seven built-in roles; only the Business Admin sees all branches.
  • Branch Managers and Managers can manage their own branch’s team.
  • Deactivating a user ends access on their next request.

Who can add team members?

RoleCan manage team members in
Business AdminAny branch
Branch ManagerTheir own branch
ManagerTheir own branch
Receptionist, Calling Team, Filing Team, Accounts Team—

The Standard plan includes unlimited team members, so there is no seat count to manage.

How do I add someone?

  1. Open Team & Roles. Choose the option to add a team member.
  2. Enter their name and work email. The email is how they sign in, so use an address only they can read.
  3. Pick a role. Choose the role that matches their job (see the table below). You can change it later.
  4. Pick a branch. They will see that branch’s data only, unless they are a Business Admin.
  5. Save and tell them how to sign in. They go to https://app.immipractice.com/auth/login.php, enter their email and type the 6-digit code they receive.

Which role should I choose?

RoleSeesTypical use
Business AdminEvery branch, every moduleOwner or principal consultant
Branch ManagerOwn branch, all modules including AccountsRuns an office
ManagerOwn branch, all modules except AccountsSenior consultant or team lead
ReceptionistOwn branch’s leads only, never enrolled casesFront desk
Calling TeamLeads and cases assigned to themCallers and counsellors working the Calling queue
Filing TeamCases assigned to them, in the Filing moduleCase preparation
Accounts TeamEvery case in their branch, Accounts and EnrollmentFees, payments and invoices
Note: The Business Admin can fine-tune what each role may do for your business in Team → Roles & Permissions. Changes apply per role, not per person, and take effect the next time affected users sign in. See permission overrides.

What happens when someone leaves?

Deactivate them in Team & Roles. Their access ends on their next request, and because there is no password, they have nothing left to sign in with. Their past notes and activity stay on the records they worked on. Reassign their open leads and cases to a colleague so nothing stalls.

Important: Sign-in codes go to the email on the user record. If a staff member’s mailbox is redirected to someone else, that person could receive their codes — deactivate the user first.

Can several people work the same lead?

Yes. Leads, cases, tasks and appointments have one primary assignee plus optional additional team members, who see the record in their own lists and get notified. See assign multiple team members.

What happens next?

New users get bell notifications for records in their branch and for anything assigned to them. Next, configure your settings, or read more about roles and permissions.

Frequently asked questions

Is there a limit on users?
