Organize immigration client documents with a per-program checklist, a status for every item (requested, received, approved, rejected), and one naming convention such as FileNumber_Person_DocType_Date.pdf, for example 2026-0142_Sharma-Priya_Passport_2026-03-14.pdf. Collect files through one secure channel rather than email attachments, review each within a set time with a clear reason when rejecting, keep each person’s documents separate, and follow a written retention schedule.
- Name every document FileNumber_FamilyName-GivenName_DocType_Date, with ISO dates and a fixed type list.
- Use one checklist per program with a status per item.
- Collect through one secure channel and review within a set time.
- Reject with a specific reason and keep each family member’s documents separate.
Why do client documents get disorganized?
Documents arrive through every channel at once: an email with eight attachments called IMG_4471.jpg, a WhatsApp photo of a bank statement, a USB stick at reception. Nobody is sure which version is current, which family member a document belongs to, or what is still missing. The fix is a system with four parts: a checklist, a status per item, a naming convention and a single intake channel.
What document naming convention should immigration offices use?
Use this pattern for every saved document:
FileNumber_FamilyName-GivenName_DocType_Date.ext
2026-0142_Sharma-Priya_Passport_2026-03-14.pdf2026-0142_Sharma-Priya_BankStatement_2026-08.pdf2026-0142_Sharma-Priya_LOA-UofT_2026-07-02.pdf2026-0142_Sharma-Priya_IELTS_2026-05-20.pdf
Rules that keep it working:
- Dates in ISO format (
YYYY-MM-DD) so files sort correctly. Use the document's issue date, or the period it covers for statements. - A fixed list of document types (Passport, BirthCert, MarriageCert, PoliceCert, BankStatement, EmploymentLetter, PayStub, Transcript, Diploma, LOA, LanguageTest, Photo, Medical, Translation, Affidavit).
- Translations carry the same name plus
_ENor_FR, with the translator's declaration saved next to them. - No spaces or special characters. Rename on receipt, not at the end.
What should a document checklist contain?
One checklist per program, built from the official instruction guide and your own experience, then adjusted per file. For each item record:
| Field | Example |
|---|---|
| Item | Proof of funds: last 4 months of bank statements |
| Applies to | Principal applicant; sponsor if applicable |
| Requirements | Full statements, all pages, name and account number visible |
| Translation needed? | Yes, if not in English or French |
| Status | Requested / Received / Approved / Rejected |
| Reviewer and date | Initials, review date |
Review checklists whenever a program's instructions change. An outdated checklist causes more problems than no checklist.
How should documents be collected from clients?
- One channel. Ask clients to upload through a secure portal or upload link tied to their file, not by email attachment.
- Upload per item. When a file is uploaded against a specific checklist item, it is already half-organized.
- Quality rules up front. Tell clients: full pages, all four corners, colour, readable, PDF preferred, one document per file.
- WhatsApp and email exceptions. If a document arrives another way, save it to the file the same day and record where it came from.
What is a good document review standard?
- Review within a set time, for example two business days from upload.
- Check against the item's requirements: right person, right document, complete, legible, current, translated if needed.
- Approve and rename to the convention.
- Reject with a specific reason: "Page 3 of the March statement is missing" rather than "please resend".
- Escalate anything that raises an eligibility or credibility question to the licensed consultant, and record the outcome in a memo to file.
What are the most common document problems, and how do you fix them?
| Problem | Fix |
|---|---|
| Phone photos with shadows or cut-off edges | Send scanning instructions with the checklist; recommend a scanner app; reject with a specific reason |
| Missing pages in statements | State "all pages" in the item requirements; check page numbers on review |
| Expired passport or outdated certificate | Check validity dates at review; record expiry dates on the file |
| Name spelled differently across documents | Flag at review; escalate to the licensee; consider an explanation or affidavit |
| Several documents merged into one PDF | Ask for one document per file, or split and rename on receipt |
| Same document received twice through different channels | Keep the approved version only; note the duplicate in the checklist |
How do you organize documents for a family application?
Keep each person's documents in their own subfolder and code the role in the name: PA (principal applicant), SP (spouse or partner), DEP1, DEP2 (dependants), SPN (sponsor). Shared documents such as a marriage certificate live under the principal applicant with a note in the checklist.
How should client documents be protected?
- Avoid email attachments and personal phones for identity documents and financial records.
- Limit access by role: not everyone in the office needs to open every passport.
- Never store client documents on personal cloud accounts or USB sticks.
- When a staff member leaves, their access ends the same day.
- Return original documents promptly and record the return.
Privacy laws such as PIPEDA and, in Québec, Law 25 set obligations for safeguarding personal information, and regulators expect proper file keeping. Check your regulator's current rules; this is general information, not legal advice.
What happens to documents when a file is reused?
Returning clients often need the same documents again: a passport, a birth certificate, an education transcript. Do not copy last year's file wholesale. Start a new file with a new number, then bring across only the documents that are still valid, renaming them to the new file number and recording in the checklist that they were reused from the earlier file. Anything with a validity window, such as bank statements, police certificates, medicals or language tests, should be requested fresh and checked against the current program instructions.
How long should client documents be kept?
Keep documents for the period your regulator and applicable law require, and no longer than needed. Record a retention review date on each closed file and destroy securely afterwards. See data retention for how this works in practice.
Which document KPIs should you track?
- Days from checklist sent to all items approved.
- Rejection rate per item (high rates mean unclear instructions).
- Average review time after upload.
- Files submitted with all items approved (target: 100%).
How ImmiPractice organizes client documents
In ImmiPractice you build reusable document checklists per service and send them to a case; clients upload against each item through the email-verified portal; staff approve or reject each upload; documents received on WhatsApp can be saved to the case; and the whole case can be downloaded as a ZIP. Files are private by default and downloadable only by roles that allow it. More on document checklists on immipractice.com.
